Pre-requisite: You have already setup your Development Programme. See this article.
Step 1: Go to the group you wish to record levels and skills for (we use the word 'group' generically, ie. this could mean class, course, membership category, optional extra etc).
Step 2: Select the contacts you wish to apply levels and skills to.
Step 3: In the tool bar, hover over Actions and you'll be presented with:
- Update level working towards
- Update skills working on
- Update skill achievements
- Update levels achieved
- Award Star of The Week
Update level workings towards
This is your starting point. First, make sure you have some contacts selected then click this option. You'll be presented with a list of Development Programmes you have enabled. If you don't see your Development Programme listed, the chances are you haven't enabled it. To check, go to Settings > Development Programme and make sure the check-box is ticked next to the Development Programme name.
- Select the appropriate levels and Hit OK.
- If you have selected multiple levels, the pop-up that appears will give you the opportunity to deselect levels for individuals.
- By default, the check-boxes are black but if a person is already working on that level, it will show green. If they have completed that level, it will show greyed out.
- 'Update level working towards' (left hand-side button) or 'Update level working towards and display skills' for those levels. For the purpose of this help article, we're going to do the latter.
Updating skills working on and worked on
By default, the system will bring back all skills for the levels you selected. Potentially, this could be a lot of skills which means lots of scrolling. To remove unwanted skills from the screen click on the filter below and deselect as appropriate.
As appropriate, mark skills as 'Worked on' or 'working on' and click Save. At the point of saving, a pop-up will appear asking 'What day would you like to publish the practice instructions to their timeline on the app?'. If your doing this for kids, you might want to schedule this for after school. The date and time must always be in the future. Click Save to finish.
Note, for the practice details to be published to peoples timelines on the app, you must enable the timeline in Settings > Accounts.
Known issue: Even if you haven't associated 'What to practice' to a skill, the message of publishing practice details to the timeline will still appear.
After you save, you will be returned back to the group/class you were originally in. Below, you'll notice that the column headings relate to the Development Programme. You can select these using the option highlighted below.
Update skill achievements
To update the skills achieved, select your contacts and on the tool bar, hover over Actions and select 'Update skill achievements'.
Select your Development Programme, the levels and skills (you can filter these down to the specific skills you want to focus on), put in the assessment date and who assessed them.
If they have passed the skill, tick the green box or red if they have failed. If the latter, you can click in the pen icon and record why they failed. The options shown here were set when you created your Development Programme.
When you select a reason for not achieving the skill (and Save), a message will be sent to the members/customers timeline on the app to notify them whey didn't pass and what to practice to pass next time (if you have set that). For skills that have been marked as passed, upon saving, a message will be sent to the app to notify them.
If you see 'Not applicable' or 'N/A' against a member/customer and the skill, it's either because the person is not working on that level or the skill has already been marked off as passed.
Your saving options are:
- Save - just saves what you have recorded
- Save and record achievements for another level
- Save and award level - for this, you must select which people you want to award the level for
- Save and return to group
Update levels achieved
Go to your group (under Contacts), select the contacts and hover over Actions in the tool bar. Select 'Update levels achieved. Select your Development Programme and the appropriate levels and click on OK.
A list of contacts in that group will appear along with a check-box and the number of skills they have achieved for each level. In the example below, they have achieved 3 out of the 10 skills. To update the level, either click on the check-box at the top (to update all) or select people individually.
Click on 'Update level achieved' to finish. As you do, a message will be sent to your members/customers app to notify them that the level has been achieved.
As you update, you'll notice that the data in your table also updates (ie. your contacts are no longer marked as working towards the levels, instead they appear in the Level achieved column).
Everything you can do at the group level (ie. update levels, skills etc), you can also do at the individual contact level.
Everything that you can do within the main website, is available to administrators using the mobile app.
Searching on Development Programme fields
You can search on fields relating to the Development Programme. The search box appears above the table of contacts. For example:
