How Do I View Sent Emails?
Please note that sent email history is only retained for 3 months.
This is due to necessary recent optimisation work required on the mail service.
When viewing sent emails, you will have two options:
Option 1: View sent Group Emails which have been sent to multiple recipients.
Option 2: View the specific sent emails for an individual.
To view your sent Group Emails, follow the steps below:
Step 2: In ‘Sent Emails’, you will see all the previous Group Emails which have been sent out. You can search by a date range, by types of email or by a particular sender. When you have found the specific email you would like to view, click ‘View Report’.
Step 3: Once the screen has loaded you will be displayed with a bar chart depicting the statistics of the email along with numerical values in a table underneath. To view the sent email, you will need to click the number in the ‘Sent’ column.
Step 4: This will bring back the list of people the Group Email was sent to. To see a copy of the email that was sent, click on the contacts name.
Step 5: Once you have clicked on the contact’s name a copy of the email you sent will display. From here, you can also resend the email and/or print it.
Step 6: When you have finished viewing the copy of the sent email, simply click the ‘x’ in the top left-hand corner.
Alternatively, to view the emails sent to a specific contact, follow the steps below:
Step 1: First, go to the contact record of the person whose sent emails you wish to view.
Step 2: Once in the contact’s record, hover over ‘Contact – Actions’ and click on ‘Received emails’.
Step 3: From here, you will be able to view all the emails that have been sent to that specific contact. To view a specific email, click on the name of the email in question.
Step 4: Once you have clicked on the name of the email a copy of it will display. From here, you can also resend the email to the contact and/or print it.
Step 5: When you have finished viewing the copy of the sent email, simply click the ‘x’ in the top left-hand corner.
Once you have followed the steps above you will be able to successfully view any sent emails within the system.
How Do I Remove a Block on an Email?
To remove the block on an email sent to a contact, follow the steps below:
Step 1: Next, click ‘Remove block’ located above the sent emails table.
Step 2: Once you have clicked ‘remove block’, the email block will be removed from that contact.
Please note – if the next email sent to the contact also does not deliver, the block will be reinstated and will need to be removed again.
We reinstate the email block so that the system does not continually send emails to an email address that will not accept them as this makes the emails sent from our system appear like spam.
Once you have completed the above steps you will have successfully removed the email block on a contact.
Follow the steps below to remove an email block en masse.
Step 1: Hover over ‘Email’ then click on ‘Sent Emails’.
Step 2: Once in ‘Sent Emails’, you will be able to see the number of emails sent and how many were delivered. Typically, if there is a differentiation between these numbers then those emails will have been blocked.
To see which contact(s) did not receive the email, click ‘View Report’ on the left-hand side.
Step 3: When in ‘View Report’, you will be able to see the statistics for the delivery of the email. Included in this is the amount of emails that were blocked.
By clicking on the number in the ‘Blocks’ column the software will bring back a list of all the people whose emails were blocked.
Step 4: A list of all the people whose emails were blocked will appear beneath the reporting table. Here, you can tick the tickboxes on the right-hand side of the page and then click ‘Remove Block’ to remove the email block on each contact, either en masse or individually.
Step 5: Once you have clicked ‘Remove Block’, the email block will be removed from the contact(s).
Please note – if the next email sent to the contact(s) also does not deliver, the block will be reinstated and will need to be removed again.
We reinstate the email block so that the system does not continually send emails to an email address that will not accept them as this makes the emails sent from our system appear like spam.
Once you have completed the above steps you will have successfully removed the email block for multiple contacts.
